BCO6656 IT PROJECT MANAGEMENT The client: eFashion Pty Ltd. eFashion Pty Ltd is a boutique based in Melbourne, Australia. They have a store and head office located on the Queens Street CBD and have branches in Sydney, Brisbane and Adelaide. They were founded in 2010 and since then, their business flourished at a significant pace. They specialise in the ladies-wear and offer new modern clothing as well as formal and casual dresses. In 2012, they introduced online purchase options and started home delivery services for products sold online. This catalogue of stock targeted only Australian market, featuring Australian trends in modern dressing. They setup a call centre in Melbourne that started to provide online customer support and web chat services to resolve customer complaints, help with customer queries, order tracking facilities and record website technical issues. Furthermore, they setup contracts with approximately 20 suppliers who design, manufacture and dispatch dresses in accordance with the online transaction office guidelines for sales & distribution. Most of the orders are dispatch through Australia Post, however, when customers request same day delivery, a courier attend the store to pick up the order for delivery. While attending a professional development conference in Sydney, Michelle Tully (CEO) met with the colleagues from industry and was introduced to ERP systems. She was impressed with the functional benefits her business could entertain by implementing an ERP system such as SAP Business One. eFashion has 60 FTE (full time equivalent) staff within several teams including; sales, marking, customer relationship team, IT services, web services, warehouse and distribution, finance and head office staff. Your employer: Victoria University Information Systems Consulting You have recently been appointed Project Manager by Victoria University Information Systems Consulting (VUISC). This includes, installation of appropriate hardware, software and training of staff at the Head Office and at their branch offices. As VUISC Project Manager you are now required to develop a Charter, followed by a Project Plan so that the system can be implemented and training requirements are met effectively. Both Charter and Plan must be approved by Michelle Tully (CEO) who is the business sponsor for this project. Once the project is underway, you will be required to report on the project status to your VUISC Manager (your tutor) as well as to the client, Michelle Tully. The SAP Business One system VUISC have recommended that SAP Business One will be suitable for eFashion. Server installation and testing It will be necessary to make modifications to the existing eFashion server room to provide a suitable space to install the new server. Arrangements have been made with Brain from ABC Construction (a local contractor), to do the work. They estimated that these modifications will take 4 days and cost $10,500 (materials and labour). Brain works from 8:30 to 16:30 (Monday to Friday) with a 30 minute lunch break at 12:00. They told us that they can start work any time after 13 April 2018. As a project manager you should visit Brain on site during construction, to see how this work is progressing. It is estimated that 30 metres of cable will need to be installed to connect the server to the network. Cable costs $1.50 per metre (plus installation). Just Cables Pty Ltd will install all the cables for the system at $55 per hour (plus materials). They have looked at the job plans and estimated it will take 6 hours to install the cables. They are prepared to do this during the day, at night, or on a weekend (if required). Initially it is suggested you schedule their work in normal working hours – you can always change this and ask them to come at night later if you find that you need to speed up the project. The cable laying can start one day after building work has commenced. Brain will have completed the demolition allowing cable to be laid by then. The server will be supplied and installed by Frontline systems. They will undertake to do this within 4 days of receiving the purchase order. They will deliver the server to eFashion premises and install it (estimated at 5 hours). The server must be tested by VUISC staff prior to installation of the SAP Business One system. Data conversion Extracting and converting the initial customer and transactional data from the legacy system database and importing it into the SAP BusinessOne system will be required. It is envisaged that data cleansing and conversion will take three weeks. This comprises a week of investigation by the Database Programmer into how the data is currently stored. eFashion’s IT Manager has indicated that the amount of data to be converted is significant and they estimate that two weeks will then be required by a Data Entry Officer for this purpose. Data conversion cannot commence until after the system has been installed. Integration The new system needs to integrate with the existing eFashion website and in store Point of Sale (POS) system. The initial estimate of integration work required from our Systems Integrator, is two weeks (for one integrator). They have integrated such systems previously and think that the work is straight forward. Documentation and training Michelle Tully has requested that a set of user manuals be custom developed for eFashion staff (end users). The Technical Writer needs time to analyse the existing SAP Business One manuals and decide how to simplify them, and further time to produce the simple user guides. The trainer will use these to devise a training program for eFashion staff that should be scheduled outside of normal business hours. Acceptance testing and sign-off Sign-off cannot occur until all hardware and software has been installed, all training is complete and all acceptance testing completed. You, as Project Manager will be on site for two hours each day for three days after system launch monitoring operations to ensure that all goes well. In the event of difficulties, other VUISC professional staff will also be called in. At the end of this period, if all is well, sign-off will occur and payment to VUISC will be made.
